FREE RESOURCE / DAILY + WEEKLY
Make room for the conversation.
Use this bounded routine to stay responsive on your own pages and contribute thoughtfully to the wider community. Download or print it without signing up.
Before you start
Choose an engagement window your team can sustain and name the person responsible. Agree which replies they can make independently and which need approval. Keep account access within authorized tools and avoid putting customer details in a shared checklist. This routine is a planning aid, not a promise of reach, leads or follower growth.
Your daily check
- Read your own conversations. Check recent comments, mentions and messages in the channels your business manages.
- Reply with a useful answer. Confirm the facts before answering questions about availability, pricing, bookings or services. Escalate anything you cannot authorize.
- Protect private details. Move a sensitive or complex customer matter to an appropriate direct business channel without repeating the details publicly.
- Visit relevant pages. Read a small selection of genuine partners, neighbouring businesses, customers who welcome interaction, or community accounts relevant to your work.
- Contribute where it fits. Ask a real question, acknowledge a specific update or share relevant expertise. Skip the interaction when you have nothing useful to add.
- Capture one learning. Record recurring questions or helpful ideas without copying personal information. Note any follow-up and its owner.
- Stop at the agreed limit. Record the time spent and carry non-urgent follow-ups into the next window.
Your weekly review
- Check unresolved questions and handoffs.
- Turn a recurring question into a clear answer for your website or next content plan.
- Review which conversations were relevant to your business and which consumed time without purpose.
- Update the list of pages you follow when relationships or relevance change.
- Compare the time used with the time budget and adjust the next week.
Keep participation human
For an illustrative local retailer, a specific response to a neighbouring shop's event update may be appropriate. A copied sales pitch under unrelated posts is not the same activity. Avoid automated comment blasts, unwanted direct messages, engagement exchanges and pretending to have used a business you have not experienced. Quality comes from relevance and a truthful reason to participate.
Give staff a simple escalation contact and a realistic response schedule. The aim is a reliable routine with good judgement, rather than an expectation that someone monitors every platform around the clock.
Include these minutes in your social media time and cost estimate. Ask any provider which replies and community interactions are included in its scope and which remain with your team.
